What to Prepare Before a First Consultation

A first consultation for a structural engineering project usually ends one of two ways: the client leaves with a clear sense of direction, or they leave with a list of questions they wish they had asked. The difference rarely comes down to the engineer. It comes down to what the client brought into the room.

For a logistics warehouse project, the preparation is more specific than for a typical commercial build. The loads are heavier, the floor flatness tolerances are tighter, and the racking layout often dictates the structural grid before the architect has finished the elevation drawings. Knowing what to bring to that first meeting saves weeks of back-and-forth later.

Site Documents That Matter

The single most useful document is the geotechnical report. If the soil investigation has already been done, bring the full report, not just the summary page. The bearing capacity, groundwater level, and settlement predictions shape the foundation design more than any other input. If the report does not exist yet, say so early. We can still have a productive conversation, but the foundation scope will carry more uncertainty until the borehole data arrives.

A site plan with existing services marked is the second item. Drainage lines, buried cables, and old foundations all affect where columns can go and how deep the excavation can reach. A rough sketch is fine. What matters is that the information exists on paper rather than in someone's memory.

Load Information

Warehouse projects live and die by their load assumptions. Before the consultation, write down the intended racking system, the pallet weights, and the number of storage levels. If the racking supplier has provided a load schedule, bring it. If not, bring the equipment specifications and we will work from those.

Also note any mezzanine floors, conveyor systems, or heavy machinery that will sit on the slab. These concentrated loads often govern the floor design more than the uniform storage load. A single 2-tonne conveyor support can require a thicker slab section than an entire aisle of racking.

Project Constraints

Timeline and budget are not just commercial details. They influence structural decisions. A fast-track schedule might push us toward precast elements instead of cast-in-place concrete. A tight budget might favour a simpler column grid even if it means slightly heavier steel sections. Being upfront about these constraints lets us steer the design toward something buildable, not just something that works on paper.

Local authority requirements matter too. Some municipalities in Malaysia require a registered structural engineer's endorsement at the concept stage. Others only need it at the submission stage. Knowing which applies to your site changes how we sequence the work.

What You Do Not Need

You do not need a complete architectural drawing set. You do not need a contractor's bill of quantities. You do not need to have the structural system figured out before you arrive. That is our job. What we need from you is the context: what the building will hold, where it sits, and when it needs to be ready.

If you are unsure whether a document is relevant, bring it anyway. A half-hour spent reviewing an old survey or a previous structural report can reveal constraints that would otherwise surface months later, when changes are expensive.
